OpenText File Intelligence

Catalog, analyze and take action on Electronic Stored Information (ESI) to unlock the business value and reduce risk

What is File Intelligence

Most organizations don’t know where and what information is contained in their documents, including sensitive and regulated information, such as PII and PCI. Much of the content resides outside of managed systems, relying on manual enforcement of governance policies and procedures by individuals, increasing legal and regulatory risk. With increased regulations, litigation and internal audits, understanding what content exists, where it resides and what actions are necessary is critical.

File Intelligence overview

OpenText File Intelligence is a file analysis application that is quickly deployed, easy to use and provides enterprises with robust functionality to catalog unmanaged sources (i.e., file shares, email, etc.), identify and analyze content files and support decision making to ensure the appropriate management of critical and valuable content.

File Intelligence features

  • Advanced search and review

Quickly categorize and find relevant content through tailored advanced searches and filters. Enforce governance with business specific classification and tagging from analysis and review.

  • Powerful indexing

Identify and classify unmanaged content, regardless of location, with deep crawling and powerful and scalable full-text indexing using full or incremental scans to help identify valuable and confidential content, such as customer and employee data, intellectual property or contracts.

  • Robust, actionable reporting

Decrease time to insight with easy to configure out-of-the-box reports. Use summary or drill-down levels of reporting to understand and make informed decisions based on file information, such as owner, resource consumption, age and level of deduplication.

  • Actionable steps

Take action on identified relevant records and files, such as copying files for migration or moving valuable file content for records preservation to secure repositories such as OpenText Documentum, OpenText InfoArchive or Content Suite. Safely and defensibly delete content not aligned with company policy or with no business value.

  • Automatically identify risky content

Continuously scan for risky content by patterns such as Social Security numbers, credit card numbers, and other PII and create policies to automatically secure content or alert managers before a data leak occurs.

  • Ease of administration

Standardize governance classifications across disparate content sources, such as file shares and Sharepoint®. Leverage a simple, single interface of all system level administrations that encompasses scheduling, user management and policy rules to create a seamless user experience.
